Personal Data - General and Purposes

We process personal data for various reasons and for several purposes, which are explained below:

  • Customer and Supplier Data: We process personal data of our customers and suppliers to execute the agreements we enter into with them. This includes maintaining contact, entering into agreements, executing them, and invoicing.
  • Credit Information: We process personal data when requesting information from a credit information agency. This is done on the grounds of legitimate interest.
  • Communication: We process personal data to send (news) messages to our relations. This is also based on legitimate interest.
  • Potential Customers: We process personal data of potential customers or interested parties who leave their contact details on our website (via our contact form). This data is used solely to contact and maintain communication with the respective persons, based on pre-contractual agreements.
  • Server Data: We store personal data that our customers place on our server(s) or when we provide short-term support by accessing the customer's system. We also store internet traffic via our servers, all based on agreements with the customer.
  • Log Files: We keep log files of all data traffic that passes through our servers. Personal data may also be processed in this context.

Types of Personal Data We Process

The personal data we process from our customers mainly includes:

  • Name, address, residence, country
  • Chamber of Commerce number
  • Phone number, email address
  • Agreements
  • Correspondence (such as emails) with our (potential) customers and suppliers
  • Support notifications
  • Financial, invoice, and payment data related to agreements
  • Information about creditworthiness or credit limit

The personal data processed because customers store data on our server(s), use our server(s), or because we view personal data when providing support services cannot be specified, as it varies per customer. Common data categories include:

  • Patient files or customer files
  • Personnel data
  • Company information
  • Internet traffic

Except for internet traffic, this usually involves data that cannot be viewed by us without the customer's knowledge, as they are stored encrypted or only accessible through the customer's application.

Provision to Third Parties

We do not provide personal data to third parties unless it concerns hardware returned to the importer or manufacturer (whether or not under warranty) that still contains personal data.

Hosting

Personal data is stored on one or more servers owned by us, located in server rooms rented by us.

Retention Periods

We retain personal data for the following periods:

  • Data related to our legal position: just over 5 years.
  • Fiscal data: as per tax authority regulations.
  • Data from the contact form: deleted if it does not lead to an agreement.
  • Customer data stored via our server: for the duration of the agreement.
  • Log files: 4 weeks.

Sources of Personal Data

We receive personal data from our (potential) customers and suppliers. Creditworthiness information is obtained from a credit information agency.

Security of Personal Data

Personal data is processed in a secure environment and stored within the European Union. We have implemented security measures at multiple levels and periodically evaluate and adjust our security policy.

We work according to ISO 27001 and NEN 7510 standards.
